How to start a session and AI scribe

Step-by-Step Guide to Using the AI Scribe

The process involves starting the recording, capturing the conversation, and then reviewing and managing the generated scribes.

1. Start Recording

To initiate a scribe during a patient interaction:

  1. Navigate to the Open Visit window.
  2. Click the Recording Icon to open the AI Scribe window, which displays all the sections within the current visit.
  3. Enable or disable section toggles to control which notes are created.
  4. Click Capture Conversation to begin recording.
  5. Alternatively, you can upload a pre-recorded file (WAV format only) using the Upload Pre-Recorded Notebutton.

2. Record Conversations

Once recording starts:

  1. The Capture Conversation button opens the recording window and starts the session, with a confirmation message.
  2. A real-time transcript appears in the Transcript Box.
  3. You can PauseResumeEnd, or Discard the recording as needed.
  4. You can minimize the recording window and continue working in PracticeEHR while a floating widget provides quick access to controls.
  5. When finished, click End or Stop to save.
  6. You’ll see a message stating "Scribe is being processed" and a blinking red signal next to the Scribes button indicating processing.

3. Reviewing and Managing Scribes

After the scribe is processed:

  1. Click the Scribes button in the visit window to review your recordings.
  2. Each entry shows the Date, Time, and Status (Accepted, Rejected, or Unreviewed).
  3. Click the hyperlinked Scribed Date to view Scribe Details, including the audio playback, transcript, and edit options.
  4. The AI provides CPT and ICD suggestions based on the recording.
  5. Note: You cannot sign off on a visit if there are unreviewed scribes.

4. Edit, Accept, or Reject the Scribe

To finalize the documentation:

  1. You can edit the AI-generated information in each section.
  2. Use the Play button to listen to the recording or Copy the transcript.
  3. Click Accept to finalize and add it to the patient’s notes.
  4. Click Reject if it’s not accurate—this marks it as reviewed but does not add it to the notes.
